Pets Western Ltd., doing business as Pets Western (“Pets Western,” “we,” “us,” or “our”), is an in-home pet care business located in Colorado. This Privacy Policy describes how we collect, use, disclose, retain, and protect personal information in connection with our pet care services and our website and application located at petswestern.com (collectively, the “Services”).
This Privacy Policy applies to pet owners who use our Services and individuals who request information or a quote from Pets Western.
We collect information that is reasonably necessary to provide our Services, operate our business, communicate with you, process payments, and comply with applicable legal and regulatory obligations.
Information You Provide
Personal Information. We may collect your name, email address, postal address, and telephone number.
Pet Information. We may collect information concerning your pets, including their names, species, breed, age, weight, microchip number, medications and dosing schedules, and behavioral information required in connection with our services, including information concerning biting or escape history.
Veterinary Information. We may collect the name, address, and telephone number of your veterinarian or veterinary clinic, including emergency veterinary information.
Emergency Contact Information. We may collect the name, relationship, and telephone number of individuals designated as emergency contacts.
Vaccination Records. We may collect vaccination records and other documents that you upload through the Services.
Booking and Transaction Information. We may collect information relating to services you request or receive, including service dates and times, service locations, prices, invoices, and payment records.
Electronic Signature Information. When you execute an agreement electronically, we collect information associated with the electronic signature, including your typed name, the electronic mark or signature you provide, the date and time of signing, IP address, and information concerning the device used to execute the document.
When you access or use the Services, certain technical information may be collected automatically by our service providers.
Server Logs
Our hosting provider, Cloudflare, maintains standard server logs associated with use of the website. These logs may include your IP address, browser information, and the pages or resources requested.
We use this information to operate and maintain the website, monitor traffic and performance, identify technical issues, and detect and respond to security threats or malicious activity.
Electronic Signature Records
When you electronically execute an agreement, we record the date and time of execution, IP address, and device information associated with the transaction. These records are maintained as part of the electronic signature record and may be used to establish the identity, authenticity, and timing of an electronic signature.
Error Reporting
We use Sentry to collect technical error and crash information to assist with identifying and correcting problems with the Services. Sentry is configured to exclude IP addresses and personal information to the extent technically supported, and session recording is disabled.
The Services use cookies and similar technologies as necessary to provide functionality and maintain authenticated sessions.
A cookie is used to maintain your signed-in session. If your browser blocks required cookies, certain portions of the Services, including account sign-in functionality, may not operate properly.
Pets Western does not use advertising cookies, advertising pixels, or similar technologies for behavioral advertising, and we do not track your activity across unrelated websites.
We may evaluate website traffic and technical performance using server logs and error reports described in this Privacy Policy. These processes do not rely on advertising cookies and are not intended to identify individual users.
Pets Western does not collect or store your full payment card number or your bank account or routing number.
When you make a payment, payment information is submitted directly to Stripe, our third-party payment processor, through Stripe’s payment interface. Such payment information is maintained by Stripe in accordance with Stripe’s applicable terms and privacy practices.
Pets Western may retain limited payment-method information, including the last four digits of a payment card or bank account, solely to identify the payment method associated with your account and transactions.
The retained information cannot be used by Pets Western to initiate a payment.

Pets Western does not request access credentials through the Services. Where keys, lockbox codes, keypad codes, or other access devices are provided directly to a pet sitter, they are received, receipted, used, and returned in accordance with the applicable service agreement.

We do not use personal information for marketing purposes, except for the use of pet photographs described below.
Pets Western may use photographs or video depicting your pet for advertising and promotional purposes where you have provided authorization through the applicable service agreement.
Such authorization applies only to images or video of your pet. It does not authorize use of your pet’s name, the interior of your home, your personal information, or images of you or other individuals.
You may withdraw your authorization by providing written notice to Pets Western at least thirty days before the requested effective date of withdrawal.
Withdrawal of authorization will apply to future use of photographs and video. It does not require the removal or recall of materials that were previously published or distributed before the withdrawal became effective.
Text messaging is optional and requires your affirmative consent.
If you opt in to receive text messages from Pets Western, we collect your cell telephone number and information documenting your consent, including the date and time consent was provided.
Your telephone number is provided to Twilio, our messaging service provider, solely for the purpose of delivering authorized text messages on our behalf.
We do not sell your telephone number, provide it to third parties for their own marketing purposes, or use it for marketing communications.

We disclose personal information to service providers and other third parties where reasonably necessary to operate the Services, provide pet care services, process transactions, communicate with you, maintain our systems, or comply with legal obligations.

We require service providers to use information provided to them for the purposes for which it is disclosed and not for their own independent purposes, subject to the terms governing the applicable service.
We may also disclose personal information where required by law, legal process, or governmental authority, or where reasonably necessary to protect the safety or welfare of a pet in an emergency. For example, we may provide a veterinarian with relevant pet medical information and contact information when necessary to facilitate emergency care.
Pets Western does not track users across unrelated websites.
The Services do not respond differently to browser-based “Do Not Track” signals.
Personal information processed through the Services is maintained in the United States by Pets Western and the service providers identified in this Privacy Policy.
Pets Western maintains technical and organizational measures designed to protect personal information against unauthorized access, use, disclosure, alteration, or destruction.
Information stored through the Services is associated with the applicable user account, and database access controls are configured to restrict access to information belonging to other users.
Uploaded vaccination records and other documents are stored using private storage mechanisms and are not publicly accessible. Temporary access links may be generated for uploaded documents and may expire after a limited period.
Information transmitted through the Services is protected using encrypted connections.
No method of transmission or storage can be guaranteed to be completely secure, and Pets Western cannot guarantee that unauthorized access, disclosure, alteration, or destruction will never occur.
Closing your account will prevent further access to the account and may prevent you from booking additional services through the Services. Account closure does not automatically result in deletion of all personal information.
Pets Western retains personal information for as long as required or permitted by applicable law, including record-keeping obligations that apply to licensed pet care businesses in Colorado and obligations relating to tax and financial records.
Records subject to those obligations will not be deleted before the applicable retention period expires.

Pets Western will delete personal information that it is not required or permitted to retain, subject to the retention provisions described in this Privacy Policy and applicable law.
Pets Western does not sell personal information and does not share personal information for purposes of cross-context behavioral advertising.
Subject to applicable law, California residents may request access to, correction of, or deletion of their personal information. Information that Pets Western is required or permitted to retain may be excluded from a deletion request.

The Services are intended for individuals who are at least 18 years of age.
Pets Western does not knowingly collect personal information from individuals under 18. If we become aware that we have collected personal information from an individual under 18 without appropriate authorization, we will take reasonable steps to delete such information, subject to applicable legal retention requirements.
Pets Western may update this Privacy Policy from time to time to reflect changes in our practices, the Services, applicable law, or other circumstances.
